University Regulation – The Implementation of Academic Advisory System in CUHK
The University aims to develop well-rounded students with academic and personal skills to meet future challenges. The advisory system, primarily focusing on academic advising, is crucial in supporting academic development and resolving issues. Advisors serve as resource persons, providing information on other opportunities for personal growth besides academic advice.
Each student is assigned an academic advisor (Level I Advisor) by their Major department, who meets With the students at least once a year for purposes Of general supervision. Departments nominate designated academic advisors (Level II Advisor) to provide additional support for students with academic problems.
The Office of Student Affairs (OSA) arranges briefing/sharing sessions, which Level II Advisors, especially new recruits, are strongly advised to attend. General information in academic/ personal counselling is disseminated via pamphlet/ booklet for Level I Advisors. Information given to Advisors includes other whole-person development opportunities to students, such as student activities, local students’ learning enhancement support, and non-local students’ support, etc.
Two indicators for potential problem cases are identified:
(i) constant/continued absence from multiple classes across various courses
(ii) a significant decrease in GPA compared to the previous term.
Teachers must fill out a proforma for reporting to the course offering units if students are continuously absent or repeatedly fail to submit assignments, etc., to identify early signs of potential problems.
If a student experiences a significant decline in their GPA, the Registration and Examinations Section will send a report to the faculties on a term basis. This report will be used to take necessary actions by the relevant programs/ Departments to address the issue.
